    We are seeking an experienced Client Services Representative to work at our prestigious client’s site.

    Specific job duties will include but not be limited to the following:



    • Answer phones and redirect calls appropriately and professionally
    • Receive guests and escorted them to their meeting room in a friendly and welcoming manner
    • Stock kitchen pantry and maintain common area cleanliness
    • Maintain conference room cleanliness and device functionality
    • Order office supplies
    • Receive, sort and deliver packages and mail
    • Create and coordinate domestic and international FEDEX shipments
    • Printer upkeep including supply ordering and service call placement
    • Travel booking and management for multiple offices
    • Create travel profiles and supervise existing travel reservations on Concur

    Office Management and Facilities Coordinator:

    • Schedule and coordinate candidate interviews for Boston and New York Offices
    • Maintaining onsite appliances and coordinating outside contractors when necessary
    • Direct meeting room scheduling and management through Microsoft Outlook Calendar
    • Oversee vendor and client appointments and requirements
    • Place and setup catering orders
    • Coordinating and creating onsite client events and offsite pitch venues when necessary
    • Anticipate client needs and innovate office improvements within a budget
    • Establish and preserve integral business relationships with building management and contract personnel on client behalf
    • Manage building service requests on behalf of client
    • Created and maintain building safety and evacuation plan and evacuation team roster and ensured that all new hires were given a copy of it in orientation packet
    • Contract outside services for maintenance and repair when necessary
    • Cooperate closely with HR, Finance, Marketing and IT departments concerning overlapping responsibilities
    • Monthly Expense tracking and allocation for company travel card
    • Support HR and company when necessary during new company acquisition and transition processes






    Qualifications include a high school diploma or equivalent, ability to multi-task, excellent communication skills, prior experience in a customer mailroom environment, technical knowledge to maintain and troubleshoot equipment within the department, ability to lift packages weighing up to 55lbs.  Knowledge of outsourcing/facilities management, such as copy center, mailroom, records/file management, document imaging, reprographics, and facsimile operations are highly desirable.
