Overview

Responsibilities

 

  • Greet and assist guests 
  • Answer and transfer phone calls to appropriate staff
  • Assists with catering: set up and clean-up of areas close to reception area
  • Prepare and send Fed Ex Shipments
  • Update and maintain the Chicago Intranet Site
  • Coordinate headshots with local photographer for Managing Directors and Directors
  • Update metrics, logs, and other internal office lists
  • Handle office facility requests, maintain general office appearance, conduct monthly walkthroughs of the office, submit and follow-up on building work orders, and assist with coordination of office repairs/maintenance/projects, etc.
  • Assist with office space planning such as updating floor plans, making seating recommendations, and anticipating future office space needs alongside office manager
  • Place catering orders
  • Prepare time and expense reports in accordance with company policies for facility manager
  • Process building maintenance work orders
  • Update staff contact lists
  • Create and distribute new hire announcement, office newsletter, and office-wide communications
  • Working knowledge of Microsoft Word, Excel and Powerpoint
  • Must be able to keep a positive demeanor while multi-tasking in a fast-paced, professional environment

Qualifications

Qualifications include a high school diploma or equivalent, ability to multi-task, excellent communication skills, basic computer skills, prior experience in a customer environment, technical knowledge to maintain and troubleshoot equipment within the department, ability to work with minimal supervision, ability to lift paper and packages weighing up to 55lbs.  Knowledge of outsourcing/facilities management, such as copy center, mailroom, records/file management, document imaging, reprographics, and facsimile operations are highly desirable.
